Welcome to School Samadhan ("we", "our", or "us"). School Samadhan provides a comprehensive School Enterprise Resource Planning (ERP) platform and companion Mobile Application ("App") designed for educational institutions, schools, colleges, administrators, teachers, parents, and students.
This Privacy Policy governs the manner in which School Samadhan collects, uses, maintains, and discloses information collected from users through our website (https://schoolsamadhan.in), our cloud-based ERP software, and our Android Mobile Application distributed on the Google Play Store.
Key Commitment: We do NOT sell, trade, or rent any student, teacher, or parent personal data to third-party advertisers or marketing agencies under any circumstances.
2. Information We Collect
To operate the School ERP and Mobile App features efficiently, we collect the following categories of information:

Student Profile Data:
Student full name, roll number, admission number, class/section, gender, date of birth, blood group, address, parent/guardian full name, contact phone number, and optional student photograph.

Academic & Administrative Records:
Daily attendance status, examination marks, report cards, fee payment transactions, digital fee receipt records, discount approvals, timetable schedules, and homework submissions.

Staff & Teacher Data:
Teacher/staff full name, employee ID, designation, qualification, phone number, salary settings, leave applications, and biometric entry/exit logs.

Device & Technical Information:
Device model, Operating System version, unique device identifiers, Firebase Cloud Messaging (FCM) tokens for push notifications, and application crash diagnostics.
3. Android App Permissions and Purpose
In accordance with Google Play Developer Policy, our Android application requests only the minimal necessary device permissions required to provide core educational features:
CAMERA
Why we need it: Allows school staff, teachers, or parents to capture and upload profile pictures, scan documents/ID card photos, or submit homework and assignment photos directly from within the app.
READ / WRITE STORAGE (Media & Files)
Why we need it: Required to download PDF report cards, fee payment receipts, syllabus documents, academic calendars, and to upload attachments for homework.
LOCATION (ACCESS_FINE_LOCATION & ACCESS_COARSE_LOCATION)
Why we need it: Used exclusively when the institution enables the School Bus / Transport Live Tracking module, allowing authorized parents and schools to view the live GPS route of the school transport vehicle for student safety.
NOTIFICATIONS (POST_NOTIFICATIONS)
Why we need it: Delivers critical real-time alerts regarding student biometric entry/exit attendance, fee payment confirmations, emergency school closures, and homework notices.
4. How We Use and Process Information

To authenticate users (School Administrators, Teachers, Staff, Parents) and securely manage multi-tenant school databases.

To generate and issue official school documents including digital fee receipts, ID cards, Transfer Certificates (TC), and examination Marksheets.

To automate communication via SMS and official WhatsApp Business integration for instant updates on fee dues, receipts, and student attendance.

To synchronize biometric attendance machines with cloud servers for accurate student and staff entry/exit records.
5. Third-Party Services and Data Sharing
We only share data with essential third-party technology providers strictly to operate our platform services:
- Cloud Hosting Infrastructure: Secure cloud data centers with SSL encryption and firewall protection.
- Messaging & Notification Gateways: WhatsApp Business Cloud API and telecom-regulated SMS gateways for sending transaction alerts to parents.
- Google Play Services & Firebase: For app push notifications and critical crash diagnostics.
6. Children's Privacy (COPPA / FERPA Compliance)
Because our ERP system is utilized by educational institutions to manage student records (including minors under 13 and under 18 years of age):

Student data is entered into the system exclusively by the authorized school administration or with verified parent/guardian consent during school admission.

We do NOT serve any behavioral advertising, commercial product promotions, or marketing trackers to student accounts.

Parents and legal guardians have the right to review, update, or request the deletion of their child's records through their respective school authority or directly through School Samadhan support.
7. Data Security and Storage
We implement robust organizational and technical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction:

All network communication is encrypted end-to-end using Industry-Standard HTTPS / Transport Layer Security (TLS/SSL).

School data is isolated with strict database permissions and role-based access control (Admin, Principal, Teacher, Accountant, Parent).

Regular encrypted backups are maintained to prevent accidental data loss.
8. User Rights & Account / Data Deletion Request
In compliance with Google Play's User Data & Account Deletion Policy, users, parents, and schools have full rights over their personal data:
- Right to Access & Rectification: Users can view and update their profile details at any time through the app or by notifying the school administration.

Data Deletion Request Process:
To request complete deletion of your mobile app account, student records, or school institution database, you can submit a deletion request by:
- Contacting your school administrator directly to remove your student/parent profile from the school database.
- Sending an email with your registered Mobile Number and School Name to support@schoolsamadhan.in with the subject line "Data Deletion Request". Requests are verified and processed within 7 business days.
